The WhatsApp integration has two separate parts. You can use one or both depending on how your team works:
- Sync messages to Bigmind: Use the Bigmind browser extension with WhatsApp Web to sync customer conversations into Bigmind activity.
- Bigmind on WhatsApp: Let verified users message the Bigmind AI Agent from WhatsApp using the Bigmind WhatsApp number.
These are separate workflows. Syncing WhatsApp Web messages does not automatically enable Bigmind on WhatsApp, and enabling Bigmind on WhatsApp does not replace the WhatsApp Web sync path.
#Part 1: Sync messages to Bigmind
Message sync is for teams that use WhatsApp with customers and want those conversations available in Bigmind alongside meetings, emails, notes, todos, and other account activity.
Sync is handled through the Bigmind browser extension while you use WhatsApp Web. When a WhatsApp thread is synced, Bigmind stores the conversation as communication activity and can associate it with CRM records where matching is available.
What message sync is for
- Customer history: Keep important WhatsApp conversations visible on the relevant account, contact, deal, or lead.
- Better context for follow-up: Give reps and managers a fuller picture of what happened outside meetings and email.
- Activity attribution: Help Bigmind connect WhatsApp conversations to the right CRM records where possible.
How message sync works
- Install and sign in to the Bigmind browser extension.
- Open WhatsApp Web in the same browser.
- Use the extension sync action for the WhatsApp thread you want to bring into Bigmind.
- Bigmind stores the synced messages as WhatsApp activity and associates them with CRM records when matching succeeds.

#Part 2: Bigmind on WhatsApp
Bigmind on WhatsApp is for users who want to interact with the Bigmind AI Agent from WhatsApp. It is especially useful for field sales teams who need quick answers before a customer visit, want to capture notes immediately after a meeting, or need to create and update todos from their phone.
What users can do from WhatsApp
- Ask for account context: Ask about an account, upcoming meeting, recent notes, open todos, or next follow-up.
- Capture notes: Ask Bigmind to remember a note on an account, contact, deal, or lead.
- Create and update todos: Create a todo, list todos, mark a todo done, or update a due date.
- Use voice messages: Send a WhatsApp voice message and Bigmind uses the transcript as the request.
- Switch workspaces: If a user belongs to multiple organizations, they can choose which workspace WhatsApp should use.
Admin setup
- Go to Settings → Communication data → WhatsApp.
- Open the Bigmind on WhatsApp section.
- Enable Bigmind on WhatsApp for the workspace.
- Confirm the acknowledgement that data shared or requested through WhatsApp by users will be processed by Meta.
Bigmind stores the user who accepted the acknowledgement and the time it was accepted. If consent is later revoked, the previous consent record remains available for historical reference.
User setup
- Go to Settings → Profile.
- Enter a phone number under Phone number.
- Select Confirm. Bigmind sends a verification code to that number on WhatsApp.
- Enter the verification code in the dialog.
- Once verified, message the Bigmind WhatsApp number directly.
Users can unlink their phone number from the same profile page. Unlinking removes future WhatsApp access for that number.
Multiple organizations
If a user belongs to multiple organizations where Bigmind on WhatsApp is enabled, Bigmind needs to know which workspace to use. Users can set their active workspace from Settings → Profile, or use /switch in WhatsApp to choose a workspace.
WhatsApp commands
/switch— choose the active workspace for future WhatsApp messages./clear— clear the Bigmind chat history for the current WhatsApp conversation.
#Data processing and privacy notes
- Meta processing: Messages sent through WhatsApp are processed by Meta. Organization owners must acknowledge this before enabling Bigmind on WhatsApp.
- Verified users only: Bigmind only responds to WhatsApp users whose phone number has been verified in Bigmind.
- Workspace opt-in required: Bigmind on WhatsApp only works for organizations where the feature has been enabled and consent has been accepted.
- Separate sync path: WhatsApp Web sync and Bigmind on WhatsApp are independent. Disabling one does not automatically remove the other.
#Troubleshooting
- The phone verification code does not arrive: Confirm the phone number is entered in international format and that the user can receive WhatsApp messages on that number.
- Bigmind does not respond in WhatsApp: Confirm the phone number is verified, the organization has enabled Bigmind on WhatsApp, and the user is still a member of that organization.
- The wrong workspace is being used: Use
/switchin WhatsApp or update the active workspace under Settings → Profile. - Synced WhatsApp messages are not attributed: Check that the relevant CRM records exist and that activity attribution is configured. See Activity attribution.
