Growing your team in Bigmind is simple and secure. Organization owners and administrators can invite new members, assign roles, and manage permissions to ensure everyone has the right level of access.
Who Can Invite Members
Invitation privileges depend on your role in the organization:
- Owners: Can invite members and assign any role, including other owners
- Administrators: Can invite members and assign most roles (except owner)
- Regular Members: Cannot invite new members unless specifically granted permission
Sending Invitations
To invite new team members to your organization:
- Navigate to Settings from your dashboard
- Go to Company > Team Members
- Click Invite Members or the + button
- Enter the email addresses of people you want to invite
- Select the appropriate role for each invitee
- Add a personal message (optional)
- Send the invitations
Available Roles
When inviting members, you can assign different roles with varying levels of access:
Owner
- Full administrative access to all Settings
- Can manage billing and subscription settings
- Can invite and remove any members
- Can delete the organization
- Cannot be removed by other members
Administrator
- Access to most Settings and configurations
- Can manage team members and assign roles (except owner)
- Can configure integrations and data sources
- Cannot access billing or delete the organization
Manager
- Can view and manage team performance metrics
- Access to coaching tools and scorecards
- Can view reports and analytics for their team
- Limited access to Settings
Member
- Standard user access to core Bigmind features
- Can record and analyze their own meetings
- Can view shared content and playbooks
- Cannot access Settings
Bulk Invitations
For larger teams, you can invite multiple members at once:
- Enter multiple email addresses separated by commas
- Upload a CSV file with email addresses and roles
- Use the same role for all invitees or assign individual roles
Invitation Process
After sending invitations, here's what happens:
- Email Sent: Invitees receive an email with a secure invitation link
- Account Creation: New users create their Bigmind account or link existing account
- Organization Access: Users automatically gain access to your organization
- Onboarding: New members see onboarding materials and setup guides
Managing Pending Invitations
Track and manage invitations that haven't been accepted yet:
- View Status: See which invitations are pending, accepted, or expired
- Resend Invitations: Send reminder emails for pending invitations
- Cancel Invitations: Revoke invitations that are no longer needed
- Update Roles: Modify the role before the invitation is accepted
Security Considerations
Bigmind ensures secure member onboarding:
- Secure Links: Invitation links are encrypted and expire after 7 days
- Email Verification: All new accounts require email verification
- Domain Restrictions: Optionally restrict invitations to specific email domains
- Audit Trail: All invitation activities are logged for security reviews

Help new team members get started quickly:
- Include a personal welcome message with each invitation
- Prepare onboarding materials and documentation
- Schedule a welcome call to introduce Bigmind features

Common Issues and Solutions
Invitation Not Received
- Check spam/junk folders
- Verify the email address is correct
- Resend the invitation from the team management page
User Already Has Account
- Existing Bigmind users will be added to your organization
- They can switch between organizations from their dashboard
- No need to create a new account
Role Permissions
- Roles can be changed after the user joins
- Consider starting with limited permissions and expanding
- Review role assignments regularly as team needs change
