Manage your Salesforce accounts in Bigmind.

Accounts

The Accounts section in Bigmind allows you to view and manage your CRM accounts based on ownership and team structure. The available account views are dynamically generated based on your role in the organization and your team's CRM integration status.

Available Account Views

All accounts

Available only to organization owners

Shows all accounts in your CRM without any ownership filtering. This view gives organization owners complete visibility across all accounts regardless of who owns them.

My accounts

Available to all users with CRM integration

Displays only the accounts that you personally own in the CRM. This is your personal account portfolio and shows accounts where you are listed as the owner.

Note: This option will be disabled if your Bigmind user account is not linked to a user in your CRM system.

My team's accounts

Available to managers with direct reports

Shows accounts owned by you and all your direct reports combined. This view gives managers visibility into their team's collective account portfolio.

Note: This option only appears if you have team members reporting to you and will be disabled if neither you nor your team members have linked CRM accounts.

[Team Member]'s accounts

Available for each team member

Individual views for each of your direct reports, showing only the accounts owned by that specific team member. Replace "[Team Member]" with the actual first name of your team member.

Note: These options will be disabled if the specific team member doesn't have a linked CRM account.

[Team Member]'s team accounts

Available for team members who manage their own teams

For team members who have their own direct reports, this shows accounts owned by that team member and their sub-team combined. This provides visibility into sub-team account portfolios.

Note: These options only appear for team members who have their own direct reports and will be disabled if the team member or their reports don't have linked CRM accounts.

How Account Filtering Works

CRM Integration

Account filtering relies on matching Bigmind users to users in your CRM system. Each user must have their Bigmind account linked to their CRM user account for the filtering to work properly.

Dynamic Options

The account view options are generated automatically based on:

  • Your role in the organization (owners see additional options)
  • Your position in the team hierarchy (managers see team options)
  • CRM integration status (disabled options show helpful tooltips)

Search and Filters

All account views can be combined with:

  • Search: Find accounts by name or website
  • Custom Filters: Apply additional criteria like industry, size, or custom fields
  • Sorting: Order accounts by various fields like name, creation date, or last activity

Troubleshooting

Option is Grayed Out

If an account view option appears grayed out with a tooltip, it means:

  • "You don't have a user in the CRM": Your Bigmind account needs to be linked to your CRM user
  • "[Name] doesn't have a user in the CRM": The team member's account needs CRM linking
  • "No team members have users in the CRM": None of your team has linked CRM accounts

Contact your administrator to resolve CRM linking issues.

Missing Team Options

If you don't see team-based account views:

  • My team's accounts: You may not have any direct reports in the system
  • Team member options: Team members may not have their own direct reports

Empty Results

If an account view shows no results:

  • The selected team member may not own any accounts in the CRM
  • Accounts may be filtered out by active search or filter criteria
  • Check that the CRM integration is working properly

Best Practices

  1. Regular Review: Use "My accounts" to regularly review your personal account portfolio
  2. Team Management: Managers should use "My team's accounts" for oversight and coaching
  3. Individual Coaching: Use individual team member views for one-on-one reviews
  4. Organization Overview: Owners can use "All accounts" for strategic planning

The account views automatically update as team structures change and new CRM integrations are established, ensuring you always have access to the most relevant account data for your role and responsibilities.
