Aircall integration

The Aircall integration lets Bigmind import recorded customer calls from Aircall and process them like native Bigmind meetings. After you connect Aircall, Bigmind backfills recent calls, ingests available transcripts, generates summaries and coaching insights, and associates calls with the right users and CRM records.

What Bigmind does with Aircall calls

  • Backfills previous calls: Shortly after connecting, Bigmind imports recent Aircall users and calls for the selected numbers.
  • Ingests call transcripts: When Aircall has a transcript available, Bigmind imports the raw transcript and turns it into a Bigmind meeting session.
  • Generates Bigmind analysis: Bigmind summarizes the call, creates action items, applies scorecards, detects trackers, and produces the same post-meeting outputs you use for other meetings.
  • Associates calls with CRM records: Bigmind can match calls to contacts, leads, accounts, and deals using synced CRM data, participant emails, and phone numbers.
  • Matches Aircall users to Bigmind users: Aircall users are synced and matched to Bigmind users by email address so call ownership and participation are attributed correctly.

Before you connect

Aircall transcript access depends on your Aircall account and number configuration. Before connecting Aircall to Bigmind, confirm the following in Aircall:

  • AI Assist is enabled on your Aircall account.
  • The Aircall numbers you want to connect have Transcribe recorded calls enabled.
  • Call recording/transcription is allowed for the calls you want Bigmind to process.
  • The calls are long enough and eligible for Aircall to generate a transcript.

If Aircall does not expose a transcript for a call, Bigmind can still sync the call record, but it cannot generate the Bigmind summary, scorecard, action items, or transcript-based insights for that call until a transcript is available.

Connect Aircall

  1. In Bigmind, go to Settings → Communication data → Telephony.
  2. Select Aircall.
  3. Choose Connect and complete the Aircall authorization flow.
  4. During the Aircall connection, select the Aircall numbers Bigmind should sync.
  5. After the connection completes, Bigmind starts syncing Aircall users and recent calls.

What happens after setup

  • Users sync: Bigmind imports Aircall users and matches them to Bigmind users by email address.
  • Calls sync: Bigmind imports recent calls for the selected Aircall numbers and continues syncing new calls over time.
  • Transcript processing: For calls with available Aircall transcripts, Bigmind creates a meeting session and runs post-meeting analysis.
  • Recording playback: When Aircall exposes a playable recording, Bigmind can show the recording on the meeting page.
  • CRM attribution: When a matching CRM record exists, Bigmind can show the call under related records and activity for the relevant contact, lead, account, or deal.

Where calls appear in Bigmind

  • Aircall settings: The Aircall detail page shows connection status, synced users, and synced calls.
  • Meetings: Processed Aircall calls appear alongside other meeting sessions, with an Aircall platform indicator.
  • CRM records: Attributed calls can appear as activity on related contacts, leads, accounts, and deals.
  • Meeting detail: Calls with transcripts show the transcript, summary, action items, scorecards, speaker engagement, and recording when available.

Troubleshooting

  • No transcripts are appearing: Confirm your Aircall account has AI Assist enabled and that the selected numbers have Transcribe recorded calls enabled.
  • A call synced but has no Bigmind summary: Aircall may not have generated or exposed a transcript for that call yet. Bigmind needs the transcript before it can run post-meeting analysis.
  • A call is not associated with a CRM record: Confirm the CRM record exists in Bigmind and has a matching phone number or participant email. See Activity attribution.
  • An Aircall user is not matched to a Bigmind user: Confirm the Aircall user email matches an active Bigmind organization member email.
  • Recording is unavailable: Confirm recording is enabled in Aircall and that Aircall exposes a playable recording for the call.
