#The bot has not joined
- Confirm that your organization’s plan includes bot capture, that it is enabled, and that it is assigned to your user.
- Check that the event is visible in Bigmind with the correct time and a supported meeting link.
- Review all-day status, declined invitations, cancellations, and your all-meetings or external-only policy.
- Check the host’s lobby or waiting room and admit the expected notetaker.
- For a last-minute meeting, use the extension’s Invite notetaker action if available.
Open the meeting’s Timeline to distinguish a bot that is scheduled, preparing, joining, recording, or finishing. A platform rejection or failed attempt is different from a bot still waiting for admission.
#I cannot switch capture methods
Capture methods and switching are plan-dependent. An administrator can select only the options included in your organization’s plan. Contact Bigmind to discuss access to a method that is not available.
#The invite option is missing
The bot controls appear for users assigned to bot capture. Bigmind hides the invite action while an existing bot is joining, recording, or finishing. Stale or unavailable status can temporarily disable controls. Client-mode users see their local capture controls instead.
#The bot is recording, but the transcript is empty
Check that someone is speaking through the correct microphone and that the spoken caption language matches the conversation. A successful language change confirms the language action; it does not guarantee that the meeting platform is producing captions.
If speech still does not appear, note the meeting URL, Bigmind meeting/session link, approximate time, and current bot status when reporting the issue. Missing captions can also leave the summary without enough content to process.
#The recording is not playable yet
Wait until the bot has left and finished uploading. Refresh the meeting page after finalization. If playback remains unavailable, check the Timeline for a failure and share the meeting/session link with support. Closing your browser does not force the remote bot to finish.
#The bot left before everyone finished
Check whether the meeting ended on the platform, someone removed the bot, capture eligibility changed, or an automatic leave limit was reached. See scheduling and departure behavior for timing details.
#Client capture is not starting
Confirm you are signed in and assigned to client capture, the extension or desktop app is running, and required permissions are granted. Check whether your policy permits a transcript, a recording, or both for this meeting. A bot-assigned user will not start a second local transcript.
