Action Usage and Limits

Learn what Actions are, how managed and BYO Action packs work, and how organization owners can manage usage caps.

Actions measure platform work performed in Bigmind. They help your organization understand and control usage from lists, campaigns, and other AI-assisted workflows.

#What counts as an Action

An Action is counted when Bigmind starts a real unit of work. Examples include:

  • Running a list cell, including computed cells, AI prompt cells, AI agent cells, enrichment cells, custom tool cells, CRM record cells, and targetable account lookups
  • Planning a campaign sequence with AI
  • Generating an outreach step with AI

Bigmind counts one Action per executed unit. Skipped cells, unmet run conditions, incomplete configuration, dependency skips, filters, scheduling, and validation checks do not consume Actions.

#What is included with seats

General use of Bigmind's AI assistant is included in seat pricing and is not tracked as Actions. This includes interacting with an AI agent in the app, automatic Deal and Account refresh, user-initiated Refresh now runs, and AI automations that generate account summaries, daily plans, deal summaries, and similar workspace assistance. This work is still recorded in AI usage reporting.

#Managed and BYO Action packs

Your plan includes a monthly Action allowance. When you need more capacity, choose a managed Action pack from the Bigmind dashboard or contact us about a BYO Action pack.

  • Managed Action pack: 15,000 additional Actions per month for €150 per month. Bigmind provides and pays for model inference.
  • BYO Action pack: Custom pricing. Your organization pays its model provider directly for inference.
  • Flexible purchase: Managed packs can be bought for a single month or made recurring monthly. You can add or remove them from the dashboard without changing your seat contract.

Both pack types cover the same work as included Actions: running lists, planning campaigns, generating outreach, and other AI-assisted workflows. For substantially higher, predictable volume, contact us for volume pricing.

#Included monthly Actions

Your plan may include a monthly Action allowance. Included Actions reset at the start of each UTC calendar month.

You can set a hard cap at the included allowance, at your purchased capacity, or at a lower spend limit. This keeps Action usage within the level your organization approves.

#Monthly hard caps

A monthly hard cap is the maximum number of billable Actions your organization can use in a UTC calendar month. When the cap is reached, Bigmind stops new billable Action work before it starts.

For example, if your organization has its included allowance plus one 15,000-Action pack and sets a hard cap at that total capacity:

  • Actions within the plan allowance are included
  • The next 15,000 Actions use the purchased pack
  • The next Action after the cap is blocked before execution

#What happens when the cap is reached

When a workflow would exceed the hard cap, Bigmind prevents the work from starting. List cells show an error instead of staying pending. Campaign planning and outreach generation stop before AI work begins.

#Manage Action limits

Organization owners can manage Action limits from billing settings:

  1. Go to Settings.
  2. Open Billing & Usage.
  3. In Current business plan, add or manage Action packs.
  4. Set the Monthly Action hard cap or monthly spend limit and save.

Changes to Action limits are logged for audit purposes, including the previous value, new value, user who made the change, and timestamp.

#Usage warnings

When your organization reaches 80% of its monthly Action cap, organization owners see a sidebar warning with current cap usage. Use this warning to review usage or raise the cap before workflows are blocked.

#Review usage

To review Action usage in detail:

  1. Go to Settings > Billing & Usage.
  2. Open the Action usage breakdown.
  3. Review usage by source, type, user, and event history.
