Bigmind offers flexible pricing plans to meet the needs of organizations of all sizes. Organization owners and administrators can manage subscriptions, billing settings, and plan changes through the billing portal.

Accessing Billing Settings

Only organization owners can access and modify billing settings:

  • Navigate to Settings
  • Go to Billing & Plans
  • View current plan details and subscription status

Current Plan Overview

The billing page displays comprehensive information about your current subscription:

Plan Information

  • Plan Name: Your current subscription tier (Business, Enterprise, etc.)
  • Seat Count: Number of licensed users in your organization
  • Billing Cycle: Monthly or annual billing frequency
  • Next Billing Date: When your next payment is due
  • Total Amount: Cost per billing cycle including taxes

Subscription Status

Your subscription can have different statuses:

  • Active: Subscription is current and all features are available
  • Trialing: Free trial period is active
  • Cancelled: Subscription is cancelled but still active until period end
  • Past Due: Payment failed and requires attention

Managing Your Subscription

Billing Portal

Bigmind integrates with Stripe for secure billing management. Click "Manage billing" to access the customer portal where you can:

  • View Payment History: See all past invoices and payments
  • Update Payment Methods: Add, remove, or change credit cards
  • Download Invoices: Access receipts for accounting purposes
  • Update Billing Address: Change billing information for invoices
  • Manage Tax Information: Add VAT numbers or tax exemption details

Changing Plans

To upgrade or downgrade your plan:

  1. Contact your account manager or Bigmind support
  2. Discuss your organization's needs and recommended plan
  3. Plan changes typically take effect at the next billing cycle
  4. Prorated charges apply for mid-cycle upgrades

Subscription Cancellation

Cancellation Process

Organization owners can cancel their subscription at any time:

  1. Click "Cancel subscription" on the billing page
  2. Provide feedback about your reason for cancelling
  3. Confirm the cancellation in the dialog
  4. Your subscription remains active until the current billing period ends

What Happens After Cancellation

  • Immediate: Your subscription is marked as cancelled
  • Until Period End: All paid features remain available
  • After Period End: Organization moves to the free plan
  • Data Retention: Your data is preserved but with limited access

Subscription Reactivation

If you've cancelled but want to reactivate before the period ends:

  • Click "Reactivate subscription" on the billing page
  • Your subscription will continue normally at the next billing cycle
  • No data or settings are lost during this process

Failed Payments

Payment Retry Logic

If a payment fails, Bigmind automatically:

  • Sends notification emails to the organization owner
  • Retries the payment according to Stripe's smart retry logic
  • Provides a grace period to resolve payment issues
  • Suspends service only after multiple failed attempts

Resolving Payment Issues

  1. Check your email for payment failure notifications
  2. Access the billing portal to update payment methods
  3. Ensure your card has sufficient funds and isn't expired
  4. Contact your bank if payments continue to fail
  5. Reach out to Bigmind support for assistance

Who Receives Billing Emails

  • Organization Owner: Receives all billing-related communications
  • Additional Contacts: Can be added through the billing portal
  • Invoice Emails: Sent automatically when payments are processed

  • Payment Confirmations: Successful billing confirmations
  • Payment Failures: Alerts when payments fail
  • Subscription Changes: Notifications about plan changes
  • Renewal Reminders: Advance notice of upcoming renewals

Account Deletion Requirements

Before deleting your organization account:

  • Cancel Subscription: Active subscriptions must be cancelled first
  • Export Data: Download any important data you want to keep
  • Notify Team: Inform team members about the account closure
  • Final Confirmation: Account deletion cannot be undone

Tax Handling

  • Automatic Tax Calculation: Taxes calculated based on billing address
  • VAT for EU Customers: VAT ID can be added for exemptions
  • US Sales Tax: Applied according to state regulations
