This Privacy Policy sets out our commitment to protecting the privacy of personal information provided to us, or otherwise collected by us, offline or online, including through our website and browser extension. In this Privacy Policy 'we', 'us' or 'our' means Bigmind B.V. (KVK number 96425911), registered in the Netherlands. We collect, store and use your personal information in accordance with the European Union General Data Protection Regulation (EU) 2016/679 (GDPR) and applicable Dutch privacy laws.

We collect and use your data to provide and improve our services:

  • Calendar data: To provide meeting preparation assistance and schedule management
  • Meeting information: To generate AI-powered meeting summaries and action items
  • Contact information: To provide context about meeting participants
  • Integration data: To enhance your experience by connecting with your preferred tools

We will only use your data to provide you with the services you have explicitly requested through our application. We do not use this data for any other purposes.

3. Data Sharing and Disclosure

We maintain strict controls over how your data is handled:

  • We do not sell your personal data to third parties
  • We do not share your data with third parties except where necessary to provide our services
  • We only share data with trusted service providers who help us deliver our services, and only under strict confidentiality agreements
  • All third-party service providers are bound by data processing agreements that comply with GDPR requirements

4. Google Integration

When you connect your Google account, we handle your Google user data with additional care. We collect and process the following Google user data:

  • Profile information (name, email address)
  • Calendar data (including events, meeting details, and participant information)

We handle this data with the following protections:

  • We only access Google data necessary for providing our services
  • We do not transfer or sell your Google user data to third parties
  • You can revoke access to your Google data at any time through your Google Account settings
  • Upon receiving a deletion request, we will delete all Google user data within 30 days

5. Meeting Transcriptions

Any transcription of meetings you create with Bigmind belongs to you. You control where your transcription is stored through settings in the Bigmind web application. When you choose to store your recordings with a third-party service, they will be transferred directly to that service. Please consult the privacy policy of the applicable third-party service provider regarding their handling of your data.

6. Data Processing and Security

We have implemented strict security measures to protect your information. Your data is transmitted securely over SSL and stored using Cloudflare's global infrastructure and Supabase's secure database services, both compliant with EU data protection requirements. We conduct regular security audits, and access to data is restricted to authorized employees with appropriate training and background checks.

7. Third-Party Services

We use the following third parties to process your personal information:

  • Cloudflare (infrastructure and data storage)
  • Supabase (database services)
  • Google Meet (meeting integration)
  • Google Gemini (AI processing)
  • OpenAI (AI processing)
  • Stripe (payment processing)

8. Your GDPR Rights

Under GDPR, you have the following rights:

  • Right to access your personal data
  • Right to rectification
  • Right to erasure ("right to be forgotten")
  • Right to restrict processing
  • Right to data portability
  • Right to object to processing

9. Data Retention

We retain your personal data only for as long as necessary for the purposes set out in this Privacy Policy or to comply with our legal obligations. You can delete your account and associated data at any time through the Bigmind web application.

We may update this Privacy Policy at any time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
