Now, templates in Bigmind support AI instructions. Using a rich token in the editor, anyone on your team—no technical skills required—can embed granular instructions directly into a template. Each instruction tells the AI agent exactly what data to pull, which systems to query, and how to write each section.

When a user generates a document from the template, the AI follows every instruction precisely—pulling live data from your CRM, meeting notes, enrichment sources, and more to produce a complete, polished document that matches your template's structure in detail.

Now, admins can sync custom objects directly into Bigmind, pulling richer information so your agents can access the complete picture of every customer relationship. Control exactly which emails Bigmind syncs


Previously, when syncing emails from Google Workspace, every message was pulled in—including sensitive communications from legal, HR, or other teams that shouldn't be part of your sales intelligence. The only control available was to limit which users were synced by organizational unit, but there was no way to filter out specific senders or domains.

Now, admins can manage exclusion lists directly from settings. Add specific email addresses, entire domains, or pattern-based rules to prevent Bigmind from syncing emails to or from those senders. For example, block all emails from your legal department, exclude a specific HR mailbox, or filter out any address matching a pattern like *@internal.company.com.

Exclusion rules apply across all connected inboxes, giving you centralized control over what data enters Bigmind—so your team gets the sales context they need without the noise.

Make the AI work your way from the very first click


Previously, the task library—the curated prompts that greet users on the chat home page—was fixed. Every organization saw the same set of starting points, regardless of how their teams actually use Bigmind.

Now, admins can fully customize the task library to match their organization's workflows. Delete prompts that aren't relevant, tweak existing ones to better fit your terminology and processes, or create entirely new tasks tailored to your team's most common use cases—all from the AI Agents task library settings screen.

A holistic view of every conversation score


Previously, scorecards gave you a flat summary—basic pass/fail scores with limited context. Now, the new scorecard view presents a rich, holistic breakdown of every evaluation. Scores are displayed alongside the answers and labels you've configured in the scorecard editor, so you can see exactly how each criterion was assessed and why.

Every answer, label, and weighted score is surfaced in a clear, structured layout—making it effortless to compare reps, identify coaching opportunities, and understand the full picture behind every score. No more toggling between views or guessing what drove a particular result.

Full control over how your AI routes and responds


The Auto agent is the orchestrator behind every chat in Bigmind—it decides which specialized agent to call, what tools to use, and how to answer your team's questions. Until now, this was a black box. Today we're giving admins full control over how it works.

From the new Auto agent settings page, you can customize the system prompt that governs routing decisions, choose exactly which tools are available (CRM, Meetings, Library, Enrichment, Custom tools, and more), and configure which sub-agents the orchestrator can delegate to—each with its own routing instructions.

Adding a sub-agent is as simple as picking an agent and one of its modes, then writing a short instruction for when the Auto agent should route there. Need to test your changes? A live chat panel sits right next to the config so you can validate behavior instantly before publishing.

All changes are staged and versioned with built-in conflict detection—so multiple admins can work on the configuration without overwriting each other. When you're ready, hit publish to make it live.

One of the most common pieces of feedback we heard was "I don't know what to ask Bigmind." That changes today. When you start a new chat, you're now greeted with a curated task library—organized by role—so you can instantly see what Bigmind can do for you and jump right in.

Redesigned navigation with chat history


We've overhauled the main navigation to be cleaner and more focused. The sidebar is now simplified and also surfaces your recent chats, making it easy to pick up right where you left off. Every chat now gets an AI-generated title based on the conversation, so you can quickly scan your history and find the thread you need without guessing which one was which.

Quick AI assistance, embedded right in your page


Sometimes you don't need the full side panel—you just need quick access to an AI agent or mini app without leaving the page you're on. Now, Sidekick offers a floating mode that embeds your AI assistance directly into any webpage, giving you instant help exactly where you need it.

Click the floating Bigmind button to open Sidekick embedded on your current page. Research a prospect while browsing their LinkedIn profile, get account insights while visiting a company's website, ask your AI agent to draft a message while reviewing lead information, or run enrichment mini apps without switching context. Everything stays contextual and immediately accessible. Need the persistent side panel that stays open across tabs? Command + Click the button to open Sidekick at the window level instead.

Now, citations appear inline directly in the chat whenever the AI references information from Confluence, your website, meetings, or documents from the library.

Cleaner meeting chats, smarter opt-out handling


Previously, every Bigmind user in a meeting would post their own opt-out link—meaning meetings with multiple Bigmind users could see 3, 4, or more duplicate messages flooding the chat. Worse, each opt-out was managed per person, not for the entire meeting.

Now, Bigmind drops just one notification per meeting—posted by the first user to join. The message reads "We are using Bigmind to transcribe & summarize calls. To learn more, receive a summary, or opt-out..." and allows any participant to opt out for everyone in the meeting, stopping all recording and transcription.

What's new in this release:

Single opt-out link - One message instead of multiple duplicates. Cleaner chat experience, and opting out now stops recording across all Bigmind users in the meeting.

Meeting activity timeline - Opt-outs, manual pause/resume actions by the host, and summary requests now appear on the meeting overview so you have full visibility into what happened during the session.

Screen share tracking - Track how long participants shared their screen. This metric appears under speaker engagement on the meeting session page, helping you understand presentation activity and engagement patterns.

Users can update to version 1.3.28 to enjoy these updates.

Give cross-functional teams the access they need


Previously, Bigmind's permission policies let you granularly define user access following your organization's hierarchy. Now permission policies can also be configured to enable cross-functional teams—like sales enablement—to view meeting summaries, scorecards, and coaching analyses across groups they support.

Set up a policy that grants your enablement team visibility into seller meetings without giving them full admin access. They get the context they need to create better training materials and support reps more effectively, while your access controls stay tight.

Understand real user interactions to improve your agents


Previously, once you deployed an AI agent you had limited visibility into how users were actually interacting with it. Now owners with View chat access can review all agent conversations to see exactly what users are asking and how the agent responds.

Browse through chat history, see which users initiated conversations, and identify patterns in how your agents are being used. Use these insights to refine your prompts, add missing knowledge, and build better agents over time.

You can now track AI token consumption across your organization with a detailed usage breakdown in Settings > Billing. View monthly totals, break down usage by agent or team member, and drill into individual records with timestamps and models used.

Find out which agents consume the most tokens to optimize your prompts, understand how your team leverages AI, and track background operations like transcription and automated enrichment. Filter by month to spot trends over time—no more guessing where your AI spend is going.

Build integrations with natural language


Custom tools let you integrate Bigmind with your own internal backend endpoints to push and pull data.
